Bookinglane Mobile Apps Privacy Policy Bookinglane Manager (Fleet Owners/Managers) and Bookinglane Driver (Drivers) Last Updated: January 13, 2026 This Privacy Policy explains how Bookinglane, Inc. (“Bookinglane,” “we,” “us,” “our”) collects, uses, shares, and protects information when you use: Bookinglane Manager (the fleet management/dispatch and operations app for fleet owners, operators, dispatchers, and managers), and Bookinglane Driver (a complimentary driver operations app used by drivers working with, contracted by, or otherwise authorized by a fleet using the Bookinglane platform) (together, the “Apps”). This Privacy Policy is intended to meet applicable privacy requirements in the UK, EEA/Europe, United States, and Canada, including (where applicable) the UK GDPR, EU GDPR, PIPEDA, and certain US state privacy laws. 1) What the Apps Do Bookinglane Manager (Fleet Management Software) Bookinglane Manager is designed for fleet owners/operators and their authorized staff to run a chauffeur/transportation business. Depending on your configuration, it may be used to: Create and administer fleet accounts, users, roles, and permissions Onboard and manage drivers (profiles, compliance documents, availability) Manage vehicles (vehicle records, registration/insurance documents, assignments) Create, receive, and manage bookings/reservations (including passenger/client details and trip requirements) Dispatch and assign rides, manage schedules, and monitor ride progress View trip history, operational performance, and activity logs Manage billing, invoices, and business records Manage payments and payouts (processed through Stripe) and view transaction and payout status information Communicate with drivers and (as applicable) passengers/clients for operational purposes Bookinglane Driver (Driver Operations App) Bookinglane Driver is a complimentary app intended for drivers who complete rides for fleets using the Bookinglane platform. Depending on configuration, it may be used to: View and manage availability, schedule, and assigned rides Accept/decline assignments (if enabled), and view ride details needed to perform services Use navigation/map features and access pickup/drop-off information Update ride statuses (e.g., accepted, en route, arrived, passenger onboard, completed, no-show, canceled) Communicate with the fleet/dispatcher and (as applicable) passengers/clients for operational purposes View earnings, payout status, and payout history information (processed through Stripe) Upload required compliance documents (e.g., license/permit/insurance where relevant to the fleet’s operations) Important: Because the Driver app is used in connection with a fleet, your fleet operator (or another authorized business customer) may control many operational settings and can access driver and trip information as described below. 2) Roles: When Bookinglane Is a Controller vs. a Processor (UK/EU/Canada Concepts) Depending on how the Apps are used, Bookinglane may act as: Data Controller for information we process to operate our business and provide the platform (e.g., account administration, billing relationships with a fleet, platform security, support, and compliance), and/or Data Processor / Service Provider when we process information on behalf of a fleet/customer (for example, where a fleet uploads passenger details, assigns drivers, or uses dispatch tools). In those cases, the fleet/customer typically determines why and how that personal data is processed. If you are a driver (or a passenger/client whose details were entered by a fleet), your primary privacy relationship may also be with the fleet/operator you work with or booked with. You may need to contact that fleet/operator to exercise certain rights or make certain requests (and we may route your request to them where appropriate and lawful). 3) Information We Collect We collect information in three main ways: (a) information you provide, (b) information collected automatically through your device/app usage, and (c) information from third parties. 3.1 Information You Provide (Manager App) Depending on your use, we may collect: Account and business information: name, email, phone, company/fleet name, address, role/permission assignments Fleet operations data you enter or upload: driver profiles, vehicle profiles, schedules, compliance documents Booking/reservation information: passenger/client names, pickup/drop-off details, trip requirements, notes, and communications needed to perform services Support communications: messages, emails, and other communications with us 3.2 Information You Provide (Driver App) Depending on your use, we may collect: Driver profile information: name, phone number, email, profile photo (if enabled), driver identifiers used by the fleet Work availability and scheduling information: availability/shift status, time-off/unavailability (if enabled), assigned ride schedule Ride workflow data: ride acceptance (if enabled), ride status updates, timestamps, notes related to the ride, service completion confirmations (if enabled) Compliance documents (if required by fleet settings): licenses, permits, certifications, insurance or other documentation uploaded via the app Support communications: messages and interactions with support or your fleet (through app features) 3.3 Location and Trip Data (Especially Relevant for Driver App) We may collect location and trip information such as: Precise GPS location during trips and/or while the driver is “on duty,” depending on fleet settings and device permissions Pickup/drop-off coordinates and route progress Timestamps and status events tied to ride execution Foreground vs. background location: If enabled by your permissions and configuration, the Driver app may collect location while the app is in use (foreground) and, where required for operational functionality, while the app is not actively open (background) (for example, to support live trip progress, dispatch visibility, safety, and service verification). You can control this in your device settings, but disabling it may limit core functionality. 3.4 Payment, Billing, and Payout Information (Stripe) Bookinglane uses Stripe as its third-party payment processor for payments and payouts. We do not store full credit card numbers or full bank account numbers in the Apps. Stripe securely processes payments and payouts. We may receive and store limited payment-related information such as: transaction IDs and payment status payout status and payout amounts invoicing/billing records partial identifiers (e.g., last4 where applicable), and information needed for reconciliation, fraud prevention, and compliance If you link or use a Stripe account through Bookinglane, Stripe’s processing is also governed by Stripe’s privacy and security practices. 3.5 Device, App, and Technical Information (Automatically Collected) We may automatically collect: Device identifiers and app instance identifiers IP address, approximate location (inferred from IP), time zone/region Device type, OS version, app version, language App usage activity and diagnostic data Crash logs, performance data, and error reports Push notification tokens (to deliver operational notifications) 3.6 Information From Third Parties We may receive information from: Stripe (payment confirmation, payout status, dispute/chargeback signals where applicable) App stores (Apple App Store / Google Play) for subscription status, purchase confirmation, and basic analytics/reporting Service providers used for hosting, analytics, mapping, and communications (see Section 6) 4) How We Use Information We use information to: Provide, operate, maintain, and improve the Apps and platform Enable fleet management functions (dispatch, scheduling, driver/vehicle administration) Enable driver workflow functions (ride assignment visibility, ride status updates, navigation support, and operational communications) Facilitate payments and payouts through Stripe, including reconciliation, billing support, fraud prevention, and accounting Provide live trip transparency and operational oversight (where enabled) Communicate with you (service notices, security alerts, operational messages, and support) Prevent fraud, abuse, and unauthorized access; protect safety and platform integrity Debug, conduct analytics, quality assurance, and product development Comply with legal obligations and respond to lawful requests Enforce our agreements and protect our rights and the rights of our users and business customers We may also use aggregated or de-identified information for analytics, benchmarking, and business improvement where permitted by law. 5) Legal Bases for Processing (EEA/UK) Where the EU GDPR/UK GDPR applies, we process personal data under one or more of the following legal bases: Contract necessity (to provide the Apps and related services) Legitimate interests (e.g., platform security, fraud prevention, product improvement, fleet operational oversight) Compliance with legal obligations Consent (where required, such as certain optional permissions or marketing communications) Where we rely on consent, you can withdraw consent at any time (without affecting processing already carried out). 6) How We Share Information We share personal data only as needed for operations, compliance, and service delivery, including: 6.1 With Fleet/Business Customers (Manager Organizations) Driver data and ride workflow data may be shared with the fleet/dispatcher to operate services (scheduling, dispatch, service verification, compliance). Fleet managers may have access to trip history, ride status events, communications, and (where enabled) location/tracking data. 6.2 With Drivers (Through the Driver App) Drivers may receive passenger/client and trip details necessary to perform the ride (pickup/drop-off, passenger name/contact where provided by the fleet, special instructions). 6.3 With Passengers/Clients (Where Enabled by Fleet Settings) Fleets may share (and we may facilitate sharing) limited information such as: driver name/photo (if enabled), vehicle details, trip ETA/progress, and/or live location for service coordination and transparency. 6.4 With Service Providers (Processors/Vendors) We use vetted vendors to support the Apps, such as: Stripe (payments/payouts) Cloud hosting and infrastructure providers (e.g., AWS) Analytics and diagnostics providers (e.g., Google Analytics/Firebase services such as analytics, crash reporting, notifications) Mapping/navigation providers (e.g., Google Maps) Communications providers (email/SMS/push tooling as configured) These providers process information under contracts designed to protect it and restrict use to providing services to us. 6.5 For Legal, Safety, and Business Reasons We may disclose information: to comply with law, regulation, court order, or lawful request to protect rights, safety, and security of Bookinglane, our customers, drivers, passengers/clients, or the public in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale/transfer of business assets (with appropriate protections) We do not sell personal information. We do not knowingly share personal information for cross-context behavioral advertising in a way that constitutes a “sale” or “share” under certain US state laws, unless we provide notice and required choices. 7) International Data Transfers Bookinglane may process and store information in the United States and other countries where we or our service providers operate. Where required, we use appropriate safeguards for international transfers (such as Standard Contractual Clauses or equivalent mechanisms). 8) Data Retention We retain personal data only as long as necessary for: providing the Apps and fulfilling contracts operational needs (dispatch records, trip history, payout records) legal, tax, accounting, compliance, and dispute resolution obligations security and fraud prevention Retention periods vary based on data type and legal requirements. We may retain certain records even after account closure where required or permitted by law. 9) Security We maintain administrative, technical, and organizational safeguards designed to protect personal data, including access controls, encryption in transit, monitoring, and vendor risk management. No system can be guaranteed 100% secure. 10) Your Choices and Controls Depending on device and configuration, you may be able to: Control location permissions (including background location) in device settings Control push notifications Update/correct certain profile information in the Apps Request access or deletion as described below Disabling certain permissions may prevent core features (like trip tracking, dispatch visibility, or navigation) from working. 11) Your Rights (UK/EEA/Canada/US) Depending on where you live and how the Apps are used, you may have rights such as: Access to your personal data Correction of inaccurate data Deletion/erasure (subject to legal and operational exceptions) Data portability (where applicable) Objection/restriction (UK/EEA) Withdrawal of consent (where processing is based on consent) The right to complain to a data protection authority (UK/EEA) How to submit a request: email legal@bookinglane.com We may require identity verification. If you are a driver (or passenger/client) whose data is controlled by a fleet/customer, we may refer your request to that fleet/customer where appropriate. 12) Children’s Privacy The Apps are not intended for children under 18, and we do not knowingly collect personal data from children. 13) Third-Party Links and Services The Apps may link to or integrate with third-party services. Their privacy practices are governed by their own policies, not this one. 14) Changes to This Policy We may update this Privacy Policy from time to time. We will post the updated version in the Apps and/or through official channels.
